1 Acceptance of Terms
By accessing or using the WordGPT platform, website, mobile application, or any related services (collectively, the "Service"), you agree to be legally bound by these Terms and Conditions ("Terms"), our Privacy Policy, and our Cookie Policy.
If you are using the Service on behalf of an organisation, you represent and warrant that you have authority to bind that organisation to these Terms.
These Terms constitute a legally binding contract between you ("User", "you", or "your") and WordGPT Ltd ("WordGPT", "we", "us", or "our").
2 Definitions
- "Service" means the WordGPT platform, website (wordgpt.app), web application, APIs, and all related tools and features.
- "User Content" means any text, documents, files, data or material you submit to or create using the Service.
- "AI Models" means third-party artificial intelligence services we use, including but not limited to OpenAI (GPT-4o), Anthropic (Claude), Moonshot AI (Kimi), and Perplexity AI.
- "Subscription" means a paid recurring plan granting access to premium features of the Service.
- "Free Trial" means the 7-day period during which you may access certain paid features without charge.
- "Personal Data" has the meaning given to it under applicable data protection law including GDPR Article 4(1).
- "Processing" has the meaning given under GDPR Article 4(2) and equivalent definitions under applicable law.
3 Eligibility
3.1 Age requirements
You must be at least 16 years of age to use the Service. In jurisdictions where the minimum age for data processing consent is higher (e.g. 18 in some US states), you must meet that higher age requirement. If you are under the applicable age of majority in your jurisdiction, you must have parental or guardian consent before using the Service.
3.2 Legal capacity
You must have the legal capacity to enter into a binding contract in your jurisdiction. By using the Service, you represent that you meet all eligibility requirements.
3.3 Prohibited regions
The Service is not available to users in regions subject to comprehensive trade sanctions or export controls where providing the Service would be prohibited by applicable law. You represent that you are not located in, or acting on behalf of a person in, any such region.
4 Description of Service
WordGPT provides an AI-powered academic writing platform including but not limited to the following features:
- AI-assisted document editing, writing, and autocomplete
- Grammar and style checking
- Paraphrasing and rewriting tools
- Plagiarism detection and similarity checking
- AI-generated content detection
- Automated plagiarism and AI detection remediation
- Academic references management and citation generation
- PDF viewing, storage, and AI-powered document chat
- Academic paper search and download tools
- Automated document formatting based on uploaded guidelines
- Automated paper submission to academic journals
- Cover letter and manuscript reporting checklist generation
4.1 Service availability
We aim for 99.5% uptime but do not guarantee uninterrupted availability. Scheduled maintenance, emergency downtime, and third-party AI provider outages may affect service availability. We will endeavour to notify users of planned downtime in advance.
4.2 Third-party AI models
Our Service uses third-party AI models operated by OpenAI, Anthropic, Moonshot AI (Kimi), and Perplexity. Your use of these features is also subject to those providers' terms of service. We are not responsible for the output, accuracy, or behaviour of third-party AI models.
5 Account Registration & Security
5.1 Account creation
You must create an account to use most features of the Service. You agree to provide accurate, current, and complete information during registration and to update it as necessary. You may not create an account using false information or impersonate another person.
5.2 Account security
You are responsible for:
- Maintaining the confidentiality of your account credentials
- All activity that occurs under your account
- Immediately notifying us at security@wordgpt.app of any unauthorised use
- Ensuring you log out from shared or public devices
We will never ask for your password by email, phone or live chat.
5.3 One account per user
Each natural person may maintain only one account. Organisations may maintain institution accounts subject to our Institution plan terms. Creating multiple accounts to circumvent subscription limits or free trial restrictions is prohibited.
5.4 Account suspension
We reserve the right to suspend or terminate accounts that violate these Terms, engage in fraudulent activity, or pose a security risk to other users or our systems.
6 Free Trial
New users receive a 7-day free trial of the Service. During the free trial:
- No payment method is required to start
- You will have access to features as specified on our Pricing page
- Your AI Editor access continues free after the trial ends, regardless of whether you subscribe
- Access to premium features will require a paid subscription after the trial expires
We reserve the right to modify or discontinue the free trial offer at any time. Any such change will not affect trials already in progress.
7 Subscriptions, Billing & Refunds
7.1 Subscription plans
Paid subscriptions are available on monthly and annual billing cycles as listed on our Pricing page. Prices are displayed in USD and are exclusive of any applicable taxes unless stated otherwise.
7.2 Automatic renewal
Subscriptions automatically renew at the end of each billing period unless cancelled. By subscribing, you authorise us to charge your payment method for renewal fees. You will receive a reminder email at least 7 days before annual renewal.
7.3 Price changes
We may change subscription prices. We will give at least 30 days' written notice of any price increase. If you do not accept the new price, you may cancel before the new price takes effect.
7.4 Cancellation
You may cancel your subscription at any time from your account settings. Cancellation takes effect at the end of the current billing period. You will continue to have access to paid features until the end of the period for which you have paid.
7.5 Refunds
We offer the following refund policy:
- Monthly subscriptions: No refund for partial months. You may cancel at any time to prevent future charges.
- Annual subscriptions: If you cancel within 14 days of your initial annual subscription purchase and have made minimal use of the Service, you may request a full refund. After 14 days, no refund is available for annual plans.
- EU/UK customers: Under consumer protection law (EU Consumer Rights Directive and UK Consumer Contracts Regulations), you have a 14-day right of withdrawal from the date of purchase. This right is lost if you begin using the digital service with your explicit consent before the 14-day period expires. By using our Service immediately after purchase, you consent to losing the right of withdrawal in exchange for immediate access.
- Disputed charges: Contact us at billing@wordgpt.app before initiating a chargeback. We will work to resolve billing disputes promptly.
7.6 Taxes
You are responsible for all applicable taxes. In jurisdictions where we are required to collect tax (including VAT for EU customers and GST for applicable regions), the applicable tax will be added to your invoice.
7.7 AI credits
AI credits purchased as add-ons expire 12 months after purchase. Unused credits are non-refundable. Credits are non-transferable between accounts.
8 Acceptable Use Policy
8.1 Permitted use
You may use the Service for lawful academic, professional, and personal writing purposes including but not limited to thesis writing, research papers, assignments, CVs, cover letters, and professional documents.
8.2 Prohibited conduct
You must not use the Service to:
- Violate any applicable local, national, or international law or regulation
- Create, distribute, or submit work that you represent as your own when it was generated by AI and your institution or publisher prohibits this
- Harass, stalk, threaten, defame, or otherwise harm any person
- Generate, distribute, or store child sexual abuse material (CSAM) or any content sexualising minors — this is a criminal offence and will be reported to law enforcement
- Create content that incites hatred, discrimination, or violence against any group
- Spread misinformation, disinformation, or deliberately false content
- Attempt to reverse engineer, decompile, or extract our source code or AI models
- Use automated scripts, bots, or scrapers to access the Service without our written permission
- Circumvent, disable or interfere with security features of the Service
- Upload malware, viruses, or malicious code
- Violate the intellectual property rights of any third party
- Sell, resell, or sublicence your account or access to the Service without our written consent
- Use the Service to train competing AI models or products without our express written consent
- Impersonate WordGPT, our employees, or other users
8.3 Content moderation
We use automated systems and human review to detect prohibited content. We reserve the right to remove any content that violates these Terms or applicable law without prior notice.
9 Your Content & Data
9.1 You own your content
You retain full ownership of all User Content you create, upload, or generate using the Service. We claim no ownership over your documents, essays, thesis work, or any other content you produce.
9.2 Licence to operate the service
By uploading User Content, you grant WordGPT a limited, non-exclusive, royalty-free, worldwide licence to access, process, and store your content solely for the purpose of providing the Service to you. This licence:
- Does not permit us to sell your content to third parties
- Does not permit us to use your content to train AI models (our own or others')
- Does not permit us to share your content with third parties except as required to operate the Service (e.g. processing through AI model APIs under confidentiality obligations)
- Terminates when you delete your account or the relevant content
9.3 Data retention
Documents processed by our Service are automatically deleted from our servers within 24 hours of processing, unless you have saved them to your WordGPT library. Documents saved to your library are retained until you delete them or close your account. Account data is retained for 30 days after account closure to allow for reactivation, then permanently deleted.
9.4 No AI training on your data
9.5 Backup responsibility
While we maintain system backups, you are responsible for maintaining your own backups of important documents. We are not liable for data loss due to technical failures, user error, or account termination.
10 AI-Generated Content
10.1 Accuracy disclaimer
AI-generated content may contain errors, inaccuracies, or outdated information. You are solely responsible for reviewing, verifying, and taking responsibility for any content you produce using our AI tools before submitting it for academic, professional, or any other purpose.
10.2 Academic integrity
You are solely responsible for complying with the academic integrity policies of your educational institution, publisher, journal, or employer. WordGPT does not verify or monitor how you use AI-generated content. Using AI-generated content in ways that violate your institution's policies may have serious academic or professional consequences for which WordGPT bears no responsibility.
10.3 No legal or professional advice
Nothing produced by our AI constitutes legal, medical, financial, or other professional advice. Always consult qualified professionals for such matters.
10.4 Copyright and AI output
The copyright status of AI-generated content varies by jurisdiction. You are responsible for understanding and complying with applicable copyright law in your jurisdiction regarding AI-generated works.
11 Intellectual Property
11.1 Our intellectual property
The Service, including its software, design, user interface, brand, trademarks, logos, and all content created by WordGPT, is the exclusive property of WordGPT Ltd and its licensors, protected by copyright, trademark, and other intellectual property laws worldwide.
11.2 Restrictions
You must not copy, modify, distribute, sell, sublicence, or create derivative works of any part of our Service or its underlying technology without our express written permission.
11.3 Feedback
If you provide feedback, suggestions, or ideas about our Service, you grant us an irrevocable, perpetual, royalty-free, worldwide licence to use that feedback for any purpose. We have no obligation to compensate you for feedback or to keep it confidential.
11.4 Copyright infringement (DMCA & international equivalents)
We respect intellectual property rights. If you believe content on our Service infringes your copyright, please contact our designated copyright agent at copyright@wordgpt.app with:
- A description of the copyrighted work claimed to be infringed
- The URL or location of the allegedly infringing material
- Your contact information
- A statement of good faith belief that the use is not authorised
- A statement under penalty of perjury (US) or equivalent that the information is accurate and you are the copyright owner or authorised agent
This process applies under the US Digital Millennium Copyright Act (DMCA), EU Copyright Directive, UK Copyright Act, and equivalent international copyright laws.
12 Privacy & Data Protection
12.1 Privacy Policy
Our collection and use of personal data is governed by our Privacy Policy, which is incorporated into these Terms by reference. Please read it carefully.
12.2 International data transfers
Our servers are located in the European Economic Area (EEA). Where data is transferred outside the EEA (e.g. to US-based AI providers), we ensure appropriate safeguards are in place including Standard Contractual Clauses (SCCs) approved by the European Commission and equivalent mechanisms under applicable law.
12.3 GDPR compliance (EU/EEA users)
For users in the EU/EEA, we comply with the General Data Protection Regulation (GDPR). Your rights include: right of access, right to rectification, right to erasure ("right to be forgotten"), right to restrict processing, right to data portability, right to object, and rights related to automated decision-making. 12.4 UK GDPR compliance

12.5 CCPA compliance (California users)
California residents have rights under the California Consumer Privacy Act (CCPA) and California Privacy Rights Act (CPRA) including the right to know, right to delete, right to opt-out of sale (we do not sell personal information), and right to non-discrimination. 12.6 PIPEDA compliance (Canadian users)
We comply with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA). You may access your personal information or challenge compliance by contacting our Privacy Officer at privacy@wordgpt.app.
12.7 PDPA compliance (Thailand / Singapore users)
We comply with Thailand's Personal Data Protection Act B.E. 2562 and Singapore's Personal Data Protection Act 2012. Your consent is obtained before processing and you may withdraw consent at any time.
12.8 LGPD compliance (Brazilian users)
We comply with Brazil's Lei Geral de Proteção de Dados (LGPD). Brazilian users have the same data rights as EU users under GDPR. Contact our Data Protection Officer (DPO) at dpo@wordgpt.app.
12.9 POPIA compliance (South African users)
We comply with South Africa's Protection of Personal Information Act (POPIA). You may lodge a complaint with the Information Regulator of South Africa at inforegulator.org.za.

13 Security

13.1 Security breach notification

If you discover a security vulnerability, please report it responsibly to security@wordgpt.app. We commit not to take legal action against researchers who report vulnerabilities in good faith under our responsible disclosure programme.
14 Disclaimers
THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, EITHER EXPRESS OR IMPLIED, INCLUDING BUT NOT LIMITED TO WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, NON-INFRINGEMENT, OR UNINTERRUPTED SERVICE.
We do not warrant that:
- The Service will be error-free, uninterrupted, or available at all times
- AI-generated content will be accurate, complete, or suitable for any particular purpose
- Plagiarism detection will identify all similarities or that its results will be accepted by any institution
- AI detection removal will guarantee your content passes all AI detection tools
- Automated paper submission will result in successful submission to any journal
- The Service will meet your specific academic or professional requirements
Nothing in these Terms limits or excludes warranties that cannot be limited or excluded under applicable consumer protection law in your jurisdiction.
15 Limitation of Liability
TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, WORDGPT AND ITS DIRECTORS, EMPLOYEES, PARTNERS AND LICENSORS SHALL NOT BE LIABLE FOR:
- Any indirect, incidental, consequential, special, or punitive damages
- Loss of profits, revenue, data, goodwill, or business opportunity
- Academic penalties, failed submissions, or reputational harm arising from use of the Service
- Decisions made based on AI-generated content
- Third-party AI model failures, inaccuracies, or outages
Our total aggregate liability to you for all claims arising from or related to these Terms or the Service shall not exceed the greater of (a) the amount you paid to us in the 12 months preceding the claim, or (b) USD $100.
16 Indemnification
You agree to indemnify, defend, and hold harmless WordGPT, its affiliates, directors, officers, employees, agents, and licensors from any claims, damages, losses, liabilities, costs, and expenses (including reasonable legal fees) arising from:
- Your violation of these Terms
- Your User Content
- Your use of the Service in violation of applicable law
- Your violation of any third party's rights including intellectual property rights
- Any academic misconduct or integrity violations arising from your use of the Service
17 Termination
17.1 Termination by you
You may terminate your account at any time by contacting us at support@wordgpt.app or through your account settings. Termination does not entitle you to a refund except as provided in Section 7.5.
17.2 Termination by us
We may suspend or terminate your access immediately, without notice or liability, if you breach these Terms, engage in fraudulent activity, or if required by applicable law. We may also terminate the Service altogether with 30 days' notice.
17.3 Effect of termination
Upon termination, your right to use the Service ceases immediately. We will delete your personal data in accordance with our data retention policy and Privacy Policy. Sections 9, 10, 11, 14, 15, 16, and 18 survive termination.
18 Governing Law & Dispute Resolution
18.1 Governing law
These Terms are governed by and construed in accordance with the laws of England and Wales, without regard to conflict of law principles.
18.2 Dispute resolution
We encourage resolving disputes amicably. Before initiating formal proceedings, please contact us at legal@wordgpt.app. We commit to responding within 10 business days.
18.3 Jurisdiction
Subject to Section 18.4, any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
18.4 EU consumer alternative dispute resolution
If you are a consumer in the EU, you have the right to use the European Commission's Online Dispute Resolution platform at ec.europa.eu/consumers/odr. Our email for ODR purposes is legal@wordgpt.app.
18.5 Class action waiver
To the extent permitted by applicable law, you waive any right to bring claims as a plaintiff or class member in any class action proceeding. This waiver does not apply where prohibited by law (e.g. for EU consumers).
19 International Users
The Service is operated from the United Kingdom. We make no representation that the Service is appropriate or available for use in all locations. If you access the Service from outside the UK, you are responsible for compliance with local laws.
Specific regional provisions:
- EU/EEA: Consumer protection rights under EU Directive 2011/83/EU and national implementations apply. Our EU representative can be contacted at eu@wordgpt.app.
- Australia: Australian Consumer Law (ACL) consumer guarantees apply and cannot be excluded.
- Pakistan: We comply with the Prevention of Electronic Crimes Act 2016 (PECA) and Personal Data Protection Bill requirements.
- India: We comply with the Information Technology (Reasonable Security Practices) Rules 2011 and Digital Personal Data Protection Act 2023.
- UAE: We comply with UAE Federal Data Protection Law (Federal Decree-Law No. 45 of 2021).
20 Changes to These Terms
We may update these Terms from time to time. When we make material changes, we will:
- Post the updated Terms on this page with a new effective date
- Send email notification to your registered address at least 14 days before major changes take effect
- Show an in-app banner notifying you of the change
- For EU/UK users, obtain fresh consent where required by applicable law
Your continued use of the Service after the effective date of any changes constitutes acceptance of the updated Terms. If you do not agree, you must stop using the Service and may request account deletion.
